As you launch the Gmail Backup Tool for Mac, you will find the screen presented below:

Software Working Process


Backup/Migrate Gmail Emails on macOS

Follow the given steps to easily back up and migrate your Gmail emails.

Step 1

Install and Run the MacSonik Gmail Backup Tool on your Mac.

You will get two options on the first panel: Gmail(Backup Mails Only) and Google Workspace(Backup Mails, Contacts, Calendar, Drive, Photos).

If you choose Google Workspace, first enter your G Suite ID and click on Sign In. The software will direct you to the browser for authentication. Once, authentication is successful, return to the tool.

Next, choose the G Suite services you want to migrate: Mail, Contacts, Calendar, Drive, and Photos. Select the desired ones.

Alternatively, if you choose Gmail(Backup Mails Only), enter Gmail login credentials (Email ID and Third-party App). Click on Sign In.

You will see the list of all folders of Gmail mailboxes and the total count. Select the desired folder you want to migrate/backup/convert. Click on Next to proceed.

Click Yes, if you want to skip the All Mail Folder from your Mailbox. Otherwise, click on No.

Backup Gmail Emails in PST

Step 8

In this panel, select the Save in File Format radio button and choose PST as the saving option from the list.

For more precise Output, apply these features of the tool:

  • Skip Duplicate Email(s): Choose this option to remove the duplicate mail items appearing more than once.
  • Migrate or Backup Email(s) without Attachment file(s): Select this option to skip migration of Attachments.

Also, you can apply the following additional features:

  • Split PST File: This option is to divide and save the Output PST file into small and manageable PSTs.
  • Free Up Server Space: Allows to delete migrated emails from the source email ID to manage free space.

Tick the Date Filter checkbox to convert emails falling between a specific date range. Press Next.

Click on the Save Path button to choose a desired saving location for the Output PST. Click on Download to begin conversion.

Your Gmail emails to PST conversion get started. Click OK when the process is completed.

Backup Gmail Emails in PDF

Step 14

To save the Gmail emails as PDF, choose PDF from the Save In File Format drop-down menu.

After that, you can choose the following features, if required.

  • Skip Duplicate Email(s): You get to skip the duplicate email items, showing multiple times.
  • Save Attachments in Separate Folder: You can also save your PDF attachments in a separate folder. Or you can skip saving attachments using the Migrate or Backup Email(s) without Attachment file(s) option.
  • Free Up Server Space: To delete emails from the server once the conversion is complete.

Also, you can apply:

  • Date Filter: You can choose to convert certain emails falling between a specific date range.
  • Naming Convention: Select this option to opt for the naming format based on To, From, Subject, and Date.

Once you are done with these steps, click on the Next button.

Click on Save Path and choose the desired saving location for the Output PDF file. Click Download to initiate the process. Once the process is complete press OK.

Migrate Gmail to G Suite

Step 18

Now, if you want to migrate from Gmail to another email client, choose Migrate in the Email Client option.

After that, pick Google Workspace from the list of Email clients. Enter your G Suite ID and click the Sign In button. Further, authenticate the Sign In procedure.

Apply these additional options to customize the results:

  • Date Filter: This filter allows you to migrate the Gmail data falling between a specific date range.
  • Migrate or Backup Email(s)without Attachment File(s): Using this filter, you can back up or migrate emails excluding their attached files.

Also, apply:

  • Skip Duplicate Email(s): You can also remove the mail items that appear more than once.
  • You can also choose the Free Up Server Space option to delete emails automatically from the Server after the migration process.

Click Next.

Click on Download to begin Migration. Once Migration is complete, click on OK.

Import Gmail to iCloud

Step 23

To migrate the Gmail emails into iCloud Mail, choose iCloud Mail as the saving option from the list. Enter the iCloud Mail Email ID and Third Party App Password, then, click on the Sign In button.

After this, Apply some additional features of the tool, outlined below.

  • Date Filter: Choose this option to migrate the Google Mail items of a defined date range.
  • Migrate or Backup Email(s) without Attachment File(s): You can select this option to migrate the email(s) without attached files.

Furthermore, look at the other additional features quoted below.

  • Skip Duplicate Email(s): Select the option to remove the duplicate emails showing multiple times.
  • Free Up Server Space: This option deletes the data after migration to make sure that there is no shortage of storage Space.

After all the above steps, click on the Next button.

At the end, click on the Download button to start the migration process and click on the OK button after finishing.
