Users from enterprises, businesses, and organizations may often find the need to take a backup of their large mailboxes. Or migrate them to another source for reliable data access, even in the near future. At such times, tools like MacSonik Gmail Backup Tool or similar migration third-party software are of great help. It allows you to access your mailbox items, such as emails, contacts, calendars, attachments, etc. To do this securely and move it to another account or platform. You need both two-step verification and an app password. Let’s find out how we can enable and generate the same!
Google’s Two-step verification adds an extra layer of protection to your email account. Even if someone somehow gets your main password, they can’t sign in without the unique verification code that’s sent to your phone or generated by an authenticator app. This ensures that only you can access your mailbox and approve any actions, like connecting a migration tool.
It needs permission to reach your email data. 2-step verification guarantees that this access is secure and verified by you. It prevents hackers or unauthorized apps from sneaking into your account.
Open your Gmail Account.
Click on the Profile Icon at the top right corner, then click Manage Your Google Account.
Go to the Security Tab and scroll down to the “How you sign in to Google” Section and click the 2-Step Verification column.
Now, enter your Gmail password and click Next.
Then, click Turn on 2-Step Verification.
At last, a pop-up will appear that you are protected with 2-Step Verification, then hit Done.
An app password is a special one-time password generated by your email service for apps or tools that can’t directly ask for your two-step verification code. It acts like a secure access key that gives the migration tool permission to reach your mailbox, but only for that specific app.
Migration tools don’t support two-step verification prompts, so your normal password will not work. You need to create a unique 16-character app password that allows the tool to access your mailbox securely without turning off 2FA. The steps for its creation are:
Open your Gmail Account.
Click on the Profile Icon at the top right corner, then click Manage Your Google Account.
Go to the Security Tab and type App Password in the search bar, and click on App Passwords.
Enter text Gmail in the App Name textarea and click on Create.
Finally, a pop-up will appear, and you will get your generated App Password, and click Done.
Pro Tip: You don’t need to enable IMAP manually to create an app password in Gmail. App passwords are part of Google’s 2-Step Verification security feature. Once you turn on 2-Factor Authentication in your Google account, you can generate app passwords for your Gmail application.
