As you launch the G Suite Backup Tool for Mac, you will find the screen displayed below:

Software Working Process


Backup All G Suite Items to PST

Step 1

Download and Install the Mac G Suite Backup Tool and run it as an administrator.

Now, provide User Email, and Service Account ID. After that, browse the p12 file of the appropriate account and click Sign In with Google.

Here, you can see the User Email Addresses and Names of all the User Accounts and click Next.

Tick the required mailbox item that you want to backup and click Next.

Choose PST as the saving option from the save as list.

You can also apply the following features of the tool.

  • Date Filter: Tick this radio button to backup G Suite mailbox items falling between a specific date range.
  • Skip Folders: You can also choose to skip folders based on specific categories.
  • Skip Duplicate Emails: Tick this option to eliminate similar emails based on Body, Subject, and From.

You can also select to migrate or backup email(s) without attached files. Along with that, you can also choose to split the PST file into smaller and more manageable PST parts. Once you are done with this, click the Next button.

Assign a unique saving path for the upcoming files and then finally tap the Backup button.

When the process gets completed, click the Ok button.

Save All G Suite Items into a PDF

Follow the above steps from 1-4 and then go ahead with the following process.

Choose PDF as the saving option from the save-as list.

Apply the following features of the tool.

  • Date Filter: You can choose this option to convert specific mailbox items to PDF format.
  • Skip Duplicate Email(s): Select this option to remove similar emails on the basis of Body, Subject, and From.

You can also select to migrate or backup without attachment file(s). Along with that, you can also choose the naming structure for the upcoming file, for that click on the Naming Convention option.

Additionally, you can also tick the option Save Attachments in Separate Folder to keep the attachments separate and then click the Next button.

In the following screen, you can assign a unique Saving path to the resulting files/folders and then click Backup to start the process.

At last, click the Ok button when the process gets completed.

Backup All G Suite Items into Office 365 Account

Follow the above steps from 1-4 and then go ahead with the following process.

In the given screen choose Office 365 as the saving option. Select the Modern Authentication option and enter its Email ID. You may also choose to backup Mailbox, Archive, or Public folder. Also, choose the Assign Impersonation option.

Parallaly, you can also choose the following features of this utility.

  • Date Filter: You can select this option for migrating specific mailbox items into Office 365 account.
  • Skip Folders: You can also choose to skip folders based on specific categories
  • Migrate or Backup Email(s) without Attachment file(s): Choose this option to continue with the migration process without including attached files.
When you are done choosing these features, click on the Login button. screenshot

Click the Import CSV button to add the Email Addresses and Office 365 Account Credentials.

Then, select the CSV file from the system and click the Open button.

Here you can see the available G Suite Email addresses of the added account and click Next.

After this, click the Backup button to initiate the migration process.

Once the process gets completed, click on the Ok button.

Migrate Only Google Workspace Emails to PDF Format


Step 1

Install and Launch the G Suite Backup Tool and select G Suite Backup (Mails only) option. After that, click on the Browse CSV file option to add the required CSV file.

Locate the CSV file on your system and click Open.

Here, you can see the Email ID, Password, IMAP, Port No., and Status of the added file. Click Next to proceed further.

Now, pick PDF as the saving option from the save-as menu.

You can also choose the required features of the tool.

  • Date Filter: Choose this option to convert emails falling between a specific date range.
  • Skip Duplicate Email(s): Select this option to remove identical emails on the basis of Body, Subject, and From.

You may also choose to Migrate or Backup Email(s) without the attached files and can even select the naming structure for the upcoming file/folder. For that, click on the Naming Convention option.

It also allows you to save attachments in a separate folder and click Next to proceed ahead.
